How to make an invoice
You can make an invoice from scratch, from a template, or with an online tool. The goal is a clear document that shows what you’re owed and how to pay.
Option 1: Online invoice maker
Use a free invoice generator or invoicing app: enter your details, the client’s details, line items, and totals. The tool formats everything and lets you download a PDF or send a link. This is the fastest way to make a professional invoice without designing a layout yourself.
Option 2: Use a template
Start from a free invoice template in Word, Excel, or Google Docs. Open the file, replace the placeholder text with your and your client’s info and your line items, then save or export as PDF. Templates ensure you don’t forget standard fields. See how to create an invoice in Word, in Excel, or in Google Docs.
Option 3: Build from scratch
If you prefer to design your own, create a document (e.g. in Word or a spreadsheet) with:
- Your name/business and contact info
- Invoice number, date, and due date
- Client name and address
- A table of line items (description, quantity, rate, amount)
- Subtotal, tax (if any), and total due
- Payment terms and instructions

What every invoice needs
No matter which option you use, include: who is billing, who is paying, what was delivered, how much is due, and when and how to pay. For details on each part, see how to create an invoice and invoice example.
After you make it
Send the invoice as soon as the work is done or the goods are delivered. For best practices on sending and following up, see how to send an invoice. Keep a copy for your records and for taxes.
