How to CreateInvoices

Gun invoice template

Gun invoice template is used by FFLs (federal firearms licensees) and gun dealers to document sales and transfers. While the ATF doesn’t require a specific invoice form between FFLs, dealers must keep acquisition and disposition (A&D) records (bound book) and, for transfers to non-licensees, complete Form 4473. An invoice template helps itemize firearm details, price, and buyer/seller info for your records and for states that require invoices for tax or transfer documentation.

An invoice should include your business or name, the customer’s details, the date and invoice number, and a line-by-line breakdown of what was provided. Including payment terms—such as due on receipt, Net 15, or Net 30—helps you get paid on time and keeps records clear for taxes.

Frequently Asked Questions

Does the ATF require an invoice when I receive guns from another FFL?
No. ATF requires proper A&D (bound book) entries, not a specific invoice. Many FFLs still use invoices for their own records and for states that do require them.
What should a gun invoice include?
Seller and buyer (or FFL) info, firearm make/model/serial/caliber, quantity, price, date, and any state-required fields. Match what you enter in your bound book.
How long must I keep firearm records?
ATF requires A&D and Form 4473 records for at least 20 years (or until discontinuance of business for 4473); paper over 20 years may be stored off-site under certain conditions.
